01 / Understanding the service

What this service covers

A proforma invoice is the seller’s pre-sale offer: it states what is being offered, in what quantity, at what price and under which terms. ISABO sends your requirements, reads the seller’s response and requests corrections.

This is useful when comparing offers, preparing purchase information or changing an order. We highlight issues such as whether accessories or freight are included. You decide whether to accept the offer.

02 / Your starting point

Who is this for?

  • You have a price but incomplete purchase terms.
  • The quantity or specifications of an earlier order have changed.
03 / Our scope

What ISABO does

01

Prepare the quotation request

We document model, quantity, technical details and included items so the seller quotes the goods you need.

02

Ask about sales terms

We clarify readiness, packaging, place of delivery and payment, and negotiate points important to you.

03

Review the document

We compare parties, item descriptions, quantities and amounts with your request and correspondence.

04

Request a revision

If data is wrong or terms change, we ask the seller for a corrected or renewed offer.

04 / Expected outcome

What will you receive?

Seller’s proforma invoice

A version that records the proposed order and the seller’s answers to your requested terms.

List of differences

Model discrepancies, missing items or costs not stated in the offer.

Revision outcome

Accepted changes, offer validity and questions that still have no definite answer.

05 / A closer look

Four parts of a useful proforma

Each part should answer a specific purchasing question.

Seller and buyer
Who issued the offer and who is named as the buyer? Check the document number, date and expiry.
Goods and quantity
Do model and quantity match your request? Distinguish included accessories from optional items.
Amount and payment
Which currency and costs are included? Check the amount and condition of each payment stage.
Delivery
Where will the seller hand over the goods? Factory readiness is different from arrival at your warehouse.
Sales offer lines checked against product samples and purchase details

06 / The workflow

How the work proceeds

  1. 01

    Share purchase details

Send the goods, quantity and destination, plus the latest offer and correspondence if available.

  2. 02

    Complete the request

We clarify missing information, request a quote and compare the reply with your needs.

  3. 03

    Negotiate open terms

We discuss discrepancies with you, then seek answers on price, quantity, payment or delivery.

  4. 04

    Receive the reviewed version

We compare revisions with the seller’s answers and note validity and any remaining questions.

07 / Practical planning

What affects time and cost?

A dependable estimate follows a review of the actual goods, documents and agreed scope.

Completeness of the request

Clear product, quantity, buyer and destination details reduce back-and-forth.

Seller response time

Issuing or amending an offer depends on the seller’s availability and current price or stock.

Payment and delivery terms

Currency, payment method, Incoterms, lead time and delivery point may require further negotiation.

Revisions and validity

Changed specifications or a short price-validity period can require a new proforma.

08 / Before we begin

Documents and details to share

This is a starting list. Additional requirements depend on your particular goods and file.

  • Product catalogue or specification sheet
  • Quantity, unit of measure and included accessories
  • Buyer company name and address
  • Destination and preferred timing
  • Seller details and previous offers
09 / Questions

Frequently asked questions

How does a proforma differ from a final invoice?

A proforma is an offer before the purchase is finalized. A commercial invoice reflects the transaction. Differences after an order change should match the agreed amendments.

Does a proforma make payment safe?

No. It is neither a payment receipt nor a delivery guarantee. The seller, payee and payment method must be checked separately.

What if the offer expires?

We ask the seller to reconfirm price and terms. We review any new version with you before the purchase decision.
